These booking terms apply to all reservations made directly with Omhedi Eco Cultural Lodge, whether online, by email, or by phone. By confirming a reservation you accept these terms on behalf of all guests in your party.

01Making a reservation

A reservation is confirmed only upon receipt of written confirmation from Omhedi Eco Cultural Lodge and payment of the required deposit. Provisional bookings are held for 48 hours pending deposit receipt, after which they may be released without notice.

Bookings made within 30 days of the arrival date require full payment at the time of booking.

By submitting a booking request you confirm that:

• You are 18 years of age or older;
• All information provided is accurate and complete;
• You are authorised to make the booking on behalf of all named guests.

02Deposit & payment

A non-refundable deposit of 50% of the total booking value is required to confirm your reservation. The balance is due no later than 30 days prior to your arrival date.

Payment is accepted via:

• Online card payment through DPO Group (Visa, Mastercard);
• EFT / direct bank transfer (details provided on invoice);

All rates are quoted and payable in Namibian Dollars (N$) and include VAT where applicable. Exchange rate fluctuations on international payments are the guest's responsibility.

Bookings made through authorised travel agents or booking representatives (including Weavers Tourism & Marketing Services) are subject to the payment and commission terms agreed between Omhedi Eco Cultural Lodge and the respective agent. In all cases, the guest's stay is governed by these Booking Terms.

03Cancellation by the guest

All cancellations must be submitted in writing to info@omhediecolodge.com. Cancellations are effective only upon written acknowledgement by Omhedi Eco Cultural Lodge.

The following cancellation fees apply, calculated as a percentage of the total booking value:

Activity bookings cancelled fewer than 48 hours before the scheduled activity will be charged in full.

04Amendments by the guest

Requests to change dates, room type, or guest numbers must be submitted in writing. Omhedi Eco Cultural Lodge will endeavour to accommodate changes subject to availability. Where an amendment results in a lower total value, the difference is credited toward activities or a future stay; no cash refund is made for amendments within 30 days of arrival.

Amendments made within 30 days of arrival are treated as partial cancellations and may attract cancellation fees on the portion changed.

05Cancellation or changes by Omhedi

Omhedi Eco Cultural Lodge reserves the right to cancel or amend a booking in circumstances beyond its reasonable control, including but not limited to force majeure events, natural disasters, government directives, public health emergencies, or damage to the property. In such circumstances:

• A full refund or credit of all amounts paid will be offered;
• Omhedi Eco Cultural Lodge will endeavour to offer a comparable alternative date or accommodation;
• Omhedi Eco Cultural Lodge shall not be liable for travel, accommodation, or other costs incurred by the guest as a result of such cancellation.

06Check-in & check-out

• Check-in: From 14:00. Early check-in is subject to availability.
• Check-out: By 10:00. Late check-out is subject to availability.
• Valid photo identification (passport or national ID) is required from all guests at check-in.
• Guests arriving after 20:00 must notify the lodge in advance.

07Children & extra guests

Children under 12 years of age are accommodated at 50% of the applicable adult rate when sharing with parents or guardians. Children under 3 years stay free of charge when sharing existing bedding. Cots are available on request at no additional charge, subject to availability.

The maximum occupancy stated for each room type must not be exceeded. Guests not declared at the time of booking may be refused entry or charged at the applicable walk-in rate.

08Activities & experiences

All activities are subject to availability, weather, and minimum guest numbers. Omhedi Eco Cultural Lodge reserves the right to substitute or cancel activities where conditions make them impractical or unsafe. In such cases, an alternative or full refund of the activity cost will be offered.

Guests participate in all outdoor activities at their own risk. Omhedi holds the right to exclude guests from activities where safety concerns arise, including intoxication.

09Guest registration & regulatory compliance

In accordance with Namibian law, Omhedi Eco Cultural Lodge is required to record the identity details of all guests staying at the property. All guests must present a valid passport or national identity document at check-in. This information is retained and may be reported to the Namibia Police (NamPol) and the Ministry of Home Affairs and Immigration as required under Namibian tourism and immigration regulations.

Foreign nationals are reminded that it is their responsibility to hold a valid visa or entry permit for Namibia for the duration of their stay. Omhedi Eco Cultural Lodge accepts no liability for guests who fail to meet Namibian immigration requirements.
